When students use school-issued instruments, it is important to have them and their parent/guardian sign an agreement that covers expectations for instrument care, maintenance, and return. In the event that equipment is lost or damaged beyond repair, this document is especially important to have on file. I do not let students take home their instruments until I have their waiver signed and on file.

Remember to check with your school district to see if there are any pre-existing guidelines for setting up a fee and whether that fee should be refundable or not. If your school district allows you to do so, it is nice to be able to collect at least a little bit of money which can be used for the regular maintenance of the instruments (such as to re-hair a cello bow or replace clarinet cork). As a teacher, never handle any money yourself-- have the students pay through the school secretary and give you the receipt as proof of payment.
